How to: Collect Data from Visitors to an Office Live Small Business Public Web Site

You can request information from visitors to your Microsoft Office Live Small Business public Web site and then save the collected information to a list in an application or workspace. To collect data, you must first do the following:

  • Create or choose a list view that contains the data fields that you want to collect
  • Share the view in a public Web site
  • Add the Collect Data module in a public Web site

If you don't have an existing view of a list that you want to use, you can create a new one. For more information, see How to: Work with Multiple Views of a List.

Warning Do not use the Collect Data module to collect sensitive data such as government identification, credit card information, financial account numbers, or other identifying data that should be encrypted while being transferred from your site visitors' browsers. Data that is submitted to the Collect Data module is transmitted in clear format across the Internet

  • It is not possible to collect data for the lists that are included with Business Contact Manager.
  • The following data types are not supported for data collection and should not be included in a view:
    • Person or Group
    • What's New
    • Calculated
    • Lookup
    If one of the above data types is required for a view, you cannot use that view to collect data.
To share the view with your public Web site
  1. On the left navigation bar, click Business Applications.

  2. Either select an application or click Workspaces, and then browse to the list that you want to share.

  3. On the actions bar, click Settings, and then click Share Data. The Share this list with your public Web site Web page appears.

  4. ** Important **  Only one view of a list can be shared at a time. If you receive a message that a view for this list is already being shared, you can click Edit to share a different view. If you do so, however, you will disable sharing for the view that is currently being shared, and you should remove that view's associated data sharing module from the Web page or update the module to be associated with a different view. If you do not remove or update the module, the Web page will not appear as expected.

  5. In the Select the view of the list to share with your public Web site list, select the list view that you want to share.

  6. Select the Collect data on my Web site check box, and then click OK. The View successfully shared area of the page appears.

  7. Click Finish.

To add the Collect Data module to the public Web site
  1. On the left navigation bar, click WebSite. The Page Manager page appears.
  2. Click Edit next to the name of the Web page on which you want to collect the data. The Web page opens in Edit mode.
  3. Click Modules, and then click Collect data. The Collect data dialog box opens.
  4. In the Select the list view to which you want to transfer the collected data list, select the list view.
  5. In the Choose how you want to display the data list, select a layout.
  6. (Optional) Fill in the fields to customize the messages that Web site visitors will see to introduce the form and to thank them for providing data.
  7. Drag the module to the zone where you want to display it.
  8. Click Save. The data from the shared view appears on the Web page in the layout that you selected.
