How to: Integrate Office Live Small Business with other Office 2007 applications

You can integrate the work you do in a Microsoft Office 2007 application, such as Microsoft Office Word 2007 or Microsoft Office Excel 2007, with your own Microsoft Office Live Small Business application. This topic describes a number of the integration options that are available. Saving files to a document library

2007 Microsoft Office system programs have integrated functionality with Office Live Small Business applications. For example, you can use an 2007 Microsoft Office system program to open a template in a document library. When you save the file, it is saved back to the document library by default. You can also set an Microsoft Office system file as the default document in a document library. Then, when you create a file in the document library, a new instance of the underlying document is opened and you can save that file directly back to the document library. In addition, if custom properties are defined for the library, the Save As dialog box displays a form in which you can provide that information.

Exporting lists, libraries, and calendars to Office Outlook

You can export views of your Contacts and Employees lists from Office Live Small Business to Microsoft Office Outlook 2003 or later. When you export one of these lists, it appears in your Outlook Contacts folder. At the same time, a link is created between the Office Live Small Business list and the Outlook list, so that changes that you make in one are automatically reflected in the other.

You can also export items in an Office Live Small Business document or picture library to Outlook 2007. The items appear in a list in an Outlook 2007 Mail folder called SharePoint Lists. Like exporting lists, additions and changes that you make to the library are automatically reflected in the Outlook 2007 list.

Last, you can share Office Live Small Business calendars with Outlook 2007. Office Live Small Business calendars appear under Calendar in the left navigation bar in Outlook 2007. Changes that you make to either calendar are shared with the other.

To export list views, library items, and calendars to Outlook
  1. On the list page, on the actions bar, click Actions, and then click Connect to Outlook.
  2. In the Microsoft Office Outlook window, click Yes.
  3. You may be prompted to enter your Windows Live ID credentials at this point.

If you have both Office Live Small Business and Office Outlook 2003 open, and you make changes in one of them, you have to refresh the page in the other to see your changes.

Some information is lost about items in Office Live Small Business lists when exporting to Office Outlook 2003. Information from the following fields is not carried over to Office Outlook 2003:

  • Business 2 (phone)
  • Other fax (phone)
  • Pager (phone)
  • Home address
  • Other address
  • Department
  • Office
  • Profession
  • Nickname
  • Manager
  • Assistant
  • Spouse
  • Anniversary

Working with a Document workspace from a Microsoft Office system program

A Document workspace is an Office Live Small Business workspace that you use to collaborate on the development of related documents with co-workers or employees. The workspace provides tools to share and update files and to keep people informed about the status of those files. When you open a file from a Document Workspace in Microsoft Office Word 2007, Office Excel 2007, Office PowerPoint 2007, or Office Visio 2007, the Document Management task pane appears. You can interact with many of the features of the Document workspace from the task pane, including the following:

  • You can assign a task that is related to a document or add new members to the Document workspace.
  • You can click a link to open the Document workspace in a Web browser.
To work with a Document workspace in Word, Excel, PowerPoint, or Visio
  1. Do one of the following:
    • From Office Word 2007, Office Excel 2007, or Office PowerPoint 2007, click the Microsoft Office button, and then click Open.
    • From Office Visio 2007, on the File menu, click Open.
  2. Under Look in, click My Network Places.
  3. Select the name of the Document workspace where your file is located, and then click Open.
  4. Select the name of the library that contains the file, and then click Open.
  5. Select the name of the file that you want to open, and then click Open.
  6. If the Document Management task pane does not open —for example, if you closed it while working on the file at another time —do one of the following:
    • To open the task pane in Office Word 2007, Office Excel 2007, or Office PowerPoint 2007, click the Microsoft Office button, click Server Tasks, and then click Document Management Information.
    • To open the Document Management task pane in Office Visio 2007, on the Tools menu, click Document Management.

To open the Document workspace in a Web browser, at the top of the Document Management task pane, click Open site in browser.
